The Position:
In this key support role, you will be the first point of contact for visitors and clients, providing exceptional customer service while managing a variety of administrative tasks.
This position will play a crucial role in providing administrative support, handling office operations and contributing to the overall efficiency of our organization.
Primary Tasks:
Answering phones enthusiastically and directing calls to proper peopleAssist with planning and preparing for in office customer meetings/eventsMaking travel arrangements - (Daily) and being reactive to last minute changes.
Shipping and ReceivingAssist with quoting (annual maintenance, services and parts) as neededFiling (Electronic)Ordering suppliesOrganize delivery of customer orders (includes both shipping and scheduling services)File internal credit card receiptsCoordinate service jobs - both software trainings and machine servicesRequired Skills:
Proficiency in Microsoft Office (Outlook, Excel, Microsoft Teams)Customer serviceWorkplace communication, teamwork/collaborationEthical decision-makingEmotional intelligenceComplex problem solvingAbility to prioritize/multi-taskStrong online research skillsDesired
Experience:
Making travel arrangements (flight, hotel and car reservations)UPS and Fedex shipping platforms - International shipping is a plus!Hours:
Monday - Friday:
8am - 5pm Pay and
